We are expanding our support team to include a Personal Assistant who will play a crucial role in ensuring a seamless and positive experience for every guest. This position requires excellent communication skills and the ability to handle various inquiries related to menu items, orders, and employment opportunities

Overview:

We are seeking a proactive, organized, and adaptable Personal Assistant to support an executive or individual in their daily operations and personal tasks. As a Personal Assistant, you will play a vital role in managing schedules, coordinating tasks, and providing administrative and personal support to ensure smooth and efficient operations. You will need to handle a variety of responsibilities with discretion, professionalism, and a high level of confidentiality.

Key Responsibilities:
  • Calendar and Schedule Management :

    • Organize and maintain the executive’s calendar, scheduling meetings, appointments, and events.

    • Coordinate travel arrangements, including booking flights, accommodations, and ground transportation.

    • Prepare itineraries and ensure the executive is fully prepared for meetings and travel.

  • Communication and Correspondence :

    • Answer and manage phone calls, emails, and other forms of communication, ensuring prompt responses.

    • Draft and edit correspondence, including emails, letters, and reports, as needed.

    • Act as the point of contact between the executive and clients, staff, and external parties.

  • Personal Errands and Tasks :

    • Handle personal errands and tasks, such as shopping, managing household matters, or coordinating personal appointments.

    • Assist with personal projects or events, including organizing social events or family gatherings.

    • Research and recommend service providers or vendors for personal needs.

  • Document Management :

    • Organize and maintain both personal and professional files, ensuring all documents are easily accessible.

    • Prepare documents for meetings, including agendas, presentations, and other necessary materials.

    • Ensure confidentiality of sensitive personal and business information.

  • Project Management :

    • Assist with personal or professional projects, ensuring tasks are completed on time and within scope.

    • Track project deadlines, deliverables, and milestones, providing updates as necessary.

  • Expense Tracking :

    • Manage and track personal and business expenses, including receipts, payments, and reimbursements.

    • Assist in preparing expense reports for the executive.

  • Miscellaneous Support :

    • Handle ad hoc tasks as required, from coordinating special events to organizing travel or gift purchases.

    • Provide logistical and administrative support during high-demand periods, such as vacations, work projects, or family events.

Key Requirements :
  • Experience : Minimum of 1 year of experience as a Personal Assistant or in an administrative support role. Experience working with high-level executives or individuals is preferred.

  • Education : A high school diploma or equivalent is required. A degree or certification in business administration or a related field is a plus.

  • Skills :

    • Exceptional organizational skills and the ability to manage multiple tasks simultaneously.

    • Excellent written and verbal communication skills.

    • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and other productivity tools.

    • Strong attention to detail and ability to prioritize effectively.

    • Ability to maintain confidentiality and exercise discretion when handling sensitive information.

    • Strong problem-solving abilities, able to handle situations with minimal guidance.

  • Other :

    • Ability to work independently and anticipate needs before they arise.

    • Strong interpersonal skills, with the ability to build positive relationships with clients, vendors, and colleagues.
