POSITION SUMMARY

The Loan Officer Assistant will support Mortgage Loan Officers in all administrative, non-origination aspects of the mortgage loan origination process. Loan Officer Assistants work closely with Loan Officers to ensure all appropriate loan origination documents are thoroughly completed and adhere to Company, investor, and industry established standards. The Loan Officer Assistant must have excellent 'people skills' and be driven with the desire to make sure every client has a positive experience with ALCOVA Mortgage.

DUTIES AND RESPONSIBILITIES

  1. Responsible for assisting with administrative duties related to client relationships and identifying client service and sales needs
  2. Assists with the coordination and follow-up with clients to ensure superior customer service
  3. Courtesy, customer service, and tact are essential elements of this position. Work involves a large degree of personal contact with others both in and out of the organization for purposes of obtaining information, building relationships, or soliciting cooperation
  4. Reviews loan application to determine the completeness of all documents and verify the borrower’s qualification for specified loan product
  5. Advises Loan Officers of any deficiencies or missing documentation
  6. Works with escrow to obtain all items necessary for disclosure (e.g. estimated HUD, preliminary title report, closing protection letter and wire instructions)
  7. Coordinates sending of disclosures, ordering appraisal, and running of credit
  8. Packages and submits complete files to operations through the Company’s loan origination software program
  9. Upon receipt of loan approval, works with Loan Officers, Loan Coordinators, and Escrow Officers to clear all “prior to doc” conditions and funding conditions
  10. Prepares doc requests and submits to Loan Coordinators, if used
  11. Arranges signing for borrowers with Escrow Officers
  12. Works closely with Loan Officers, Funders, and Escrow Officers to clear funding conditions
  13. Organizes filing system, answers phones, photocopies documents, and prepares correspondence and documents as needed
  14. Prepares marketing materials and may coordinate meetings, conferences, and presentations
  15. May be responsible for the preparation of specialized reports and documents

EDUCATION, EXPERIENCE, LICENSURE, AND COMPETENCIES

  1. High school diploma, or equivalent education and experience
  2. Able to prioritize complex diversified responsibilities and multi-task in a fast-paced environment
  3. Able to work collaboratively with others in a team environment
  4. Strong Organizational sills
  5. Excellent interpersonal and communication skills (verbal and written)
  6. Strong customer service skills
  7. Able to use deductive reasoning
  8. Working knowledge of Encompass and RESPA
  9. Proficient computer skills, especially Microsoft Office (Word, Excel, and Outlook) and Internet applications
  10. Self-starting, self-reliant, highly motivated and dependable
  11. Technologically savvy and comfortable learning new computer systems and programs
  12. Able to adapt to changing environments, situations, and job responsibilities
  13. Able to work flexible hours and overtime, if needed
  14. Strong moral compass with high standards for workplace integrity
  15. Compliance with all Bank Secrecy Act (BSA), Anti-Money Laundering (AML) laws, and Office of Foreign Asset Controls (OFAC) requirements is required. Employee must complete annual training in these areas

WORK ENVIRONMENT

This job operates in a clerical office setting; climate-controlled surroundings with adequate lighting and little or moderate noise when in the office. In this role, the individual routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

PHYSICAL DEMANDS

This is largely a sedentary role; however, some filing and photocopying is required. This would require the ability to lift files, open filing cabinets, and bend or stand as necessary.

EXPECTED HOURS OF WORK

Days and hours of work are Monday through Friday, 8:30 A.M. to 5 P.M. Evening and weekend work may be required, as job duties demand.
