REPORTS TO: Chief Financial Officer
LOCATION: Downtown Brooklyn office. Hybrid-3-4 days in office.
SALARY: $75,000-$80,000/year

JOB SUMMARY:
The Grant Manager provides high-level organization-wide support for the Arab-American Family Support Center’s grants & contracts portfolio, including financial reporting, vouchering, budgeting, variance reports and audit activities. The Grant Manager is charged with strengthening and managing the day-to-day fiscal management systems needed to support current and future growth of our grants and contracts portfolio. This position will liaise closely with internal staff as well as work with external vendors, funders, and auditors in a professional, organized and confidential manner. Critical to success in the role, the Grant Manager must effectively balance compliance requirements and program needs.

A successful Grant Manager must be able to learn new systems quickly, solve problems creatively, communicate effectively with individuals at all levels of financial literacy, and self-manage multiple priorities comfortably. A commitment to immigrant, refugee, and low-income communities is essential for this role.

PRIMARY DUTIES & RESPONSIBILITIES

Grant Management
  • Responsible for grant and contract compliance and tracking, including budget versus actual reporting, variance reports and forward-looking grant allocation recommendations.
  • Prepare and submit monthly, quarterly and year-end vouchers and reports for all contracts and grants.
  • Prepare and submit any budget modifications as needed throughout the fiscal year.
  • Liaise with the Resource Development team to ensure timely receipt of all pledge payments and ensure donor restrictions are adhered to and correctly reflected in financial statements.
  • Review bank and credit account reconciliations, and ensure coding is accurately reflected for vouchering and grant reporting purposes.
  • In coordination with Human Resources and Resource Development, ensure that payroll allocations are accurately reflected and mirror funder allocations.
  • Maintain non-salary cost allocation plans for any grants and contracts with shared expenses.
  • Prepare payroll-grant allocation entries.


Support Strong Financial Systems and Controls

  • Support the creation of models, reports and other tools that enable staff, Board of Directors, and executive leadership to make sound, data-driven financial decisions.
  • In collaboration with Senior Leadership, refine financial systems and processes that help teams across AAFSC work collaboratively and effectively while optimizing the use of grant funds.
  • In collaboration with Senior Leadership, optimize systems and procedures to ensure that reliable finance data, information, and knowledge are accessible in as close-to-real-time as possible to key decision-makers throughout the organization.
  • Support relationship with external auditors and preparation of materials for the general audit and funder audits to ensure compliance with all regulatory requirements.
  • Analyze financial data to seek cost improvements.


Other Duties and Responsibilities

  • Participate in AAFSC meetings and internal and external training.
  • Remain updated on non-profit accounting knowledge and best practices by attending educational workshops, joining professional associations, building networks with fellow professionals and reviewing of industry publications.
  • Perform other duties and ad-hoc projects assigned by Vice President of Finance.


BACKGROUND AND POSITION REQUIREMENTS

  • 3+ years in financial management roles, with strong understanding of non-profit accounting.
  • Working knowledge of, and direct experience working with, federal, NY State and New York City government donor funding, contracting and reporting requirements, and compliance and auditing activities.
  • Proven professional experience in finance, accounting, contracts, budgeting and cost control principles, including GAAP and automated financial reporting systems
  • B.S. in accounting or finance or relevant field is preferred or demonstrated previous relevant experience
  • Demonstrated ability to oversee the detailed preparation of budgets/financial accounts and to understand and analyze financial data, both at an overall organizational level as well as the detailed project/program levels.
  • A proven track record of successfully driving organization-wide accounting and finance process and systems changes, bringing greater efficiency and effectiveness to an evolving organization, leveraging technology as appropriate.
  • Strong knowledge of accounting and reporting software.
  • Working knowledge of, and direct experience, supporting the financial management of foundation grants and other sources of private funding.
  • Strong problem-solving and creative skills with the ability to exercise sound judgment and make data-driven decisions based on accurate and timely analyses

  • Self-starter with the ability to work independently, and as a part of a team, in a fast-paced deadline-driven environment.
