Summary of Position:

NVE Experience Agency is seeking an experienced Event Production Coordinator with a focus on mobile tours to support and coordinate all aspects of events, ensuring successful execution from concept to completion. This position will support the Lead Producer in ensuring client objectives are maintained throughout the production process. The ideal candidate should possess a blend of creative and analytical thinking, with strong project management, communication and administrative skills.

This is a part-time freelance role estimated to be a 12-month contract duration.

Job Responsibilities:

• Support the planning and execution of events including logistics, production and technical
• Actively participate in brainstorming sessions to generate creative concepts for mobile tours
• Conduct thorough venue research across multiple markets to identify locations for mobile tour stops
• Coordinate logistics, insurance, transportation, setup, and teardown, to ensure smooth tour operations
• Collaborate with internal teams to develop project plans with timelines and budgets
• Review and edit project and event proposals from team members
• Track production schedule, monitor progress and proactively communicate status of all projects to Lead Producer on an ongoing basis to ensure timely execution of all tour-related activities
• Track budget to ensure cost containment and profitability while delivering on client objectives 
• Research vendors, review proposals, conduct site visits
• Track inventory of tour assets, coordinate shipping, storage, and replenishment as needed

Qualifications:

• Minimum 1-3 years of experience in event production or as a project manager
• Onsite experience in event production
• Mobile tour experience preferred
• Proven ability to manage multiple projects independently, adhering to timelines
• Experience developing detailed event budgets
• Ability to work as part of a team that includes Operations, Design, Creative
• Excellent problem solving, attention to detail, written and communication skills
• Previous experience within an agency

Requirements:

• Must be able to remain in a stationary position 50% or more of the time while working remotely and in a standing position 50% or more of the time while working onsite
• Must be able to work outdoors in various weather conditions as needed
• Have a valid Driver’s License
• Regularly required to stoop, kneel, bend, crouch and lift up to 25 pounds and occasionally heavier items
• Available to work weekends and evenings as needed for events
• Available to work on-site in the greater Los Angeles area and other locations as needed

Location:

We are a hybrid company with hub locations in Los Angeles and New York. The ideal candidate is located in Los Angeles, CA.

Hourly Estimation:

This is a non-exempt part-time role eligible for OT in accordance with local law. The hourly range is $35.00 per hour. NVE intends to provide a competitive total compensation package which includes a variety of incentives, benefits, growth and developmental opportunities. There are many factors to the presented hourly range, including but not limited to - location, departmental budgets, certifications, and overall job-related qualifications.
