Job Title: BEST Program Communications Coordinator

Location: Boston, MA 02108

Duration: 12 Months

Position Summary

We are seeking a skilled Program Communications Coordinator to join the Organizational Change Management (OCM) workstream of a large-scale ERP transformation initiative. Reporting to the Communications Lead, this role will support the development and execution of the program’s communications strategy and plan.

The Communications Coordinator will create engaging and accessible content for multiple platforms—including websites, newsletters, presentations, and digital channels—ensuring that stakeholders are informed about program vision, milestones, and progress. A strong focus will be placed on developing accessible digital content in compliance with WCAG 2.1 (A & AA) and enterprise accessibility policies.

This position will collaborate with leadership, program staff, and vendors to design and deliver communication materials, coordinate meetings, support change management activities, and generate concise reports for governance bodies. Effective, consistent communication will be critical in supporting adoption of the new ERP solution and driving organizational readiness.

Responsibilities
  • Develop clear, engaging, and accessible content across web, digital, and print platforms.

  • Partner with OCM Leads, Solution Leads, and vendors to execute the communications plan.

  • Manage communications calendars, track progress, and provide weekly status reports.

  • Design and distribute newsletters, targeted emails, presentations, and supporting collateral.

  • Ensure all communications meet web accessibility standards (WCAG 2.1 AA).

  • Support change management efforts by clearly articulating program goals, benefits, and impact.

  • Coordinate virtual and hybrid meetings (presentations, materials, logistics, minutes).

  • Gather and analyze feedback through surveys, forms, and analytics; prepare reports on communication effectiveness.

  • Support program-wide events, training communications, and go-live readiness.

Required Skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams) and virtual meeting tools (Zoom).

  • Hands-on experience with SharePoint, Mailchimp (or similar), WordPress (or similar), Microsoft Forms, SurveyMonkey (or similar).

  • Strong background in content creation for diverse audiences, including public-facing websites.

  • Excellent writing, editing, and presentation skills with ability to simplify complex topics.

  • Experience in communication or change management principles and methodologies.

  • Highly organized, with strong problem-solving, analytical, and prioritization skills.

  • Collaborative team player with the ability to influence and engage stakeholders at all levels.

Preferred Qualifications
  • Familiarity with Photoshop, Illustrator, or similar design/editing tools.

  • Experience supporting communications for large-scale IT or ERP implementations.

  • Knowledge of media relations, SEO/SEM, Google Analytics, multimedia production, or related areas.

  • Understanding of modern, responsive, and accessible web design.

  • Basic knowledge of graphic design, video editing, and photography.

  • Bachelor’s degree in Communications, Multi-Media Production, Change Management, or related field.

Minimum Requirements
  • 3–4 years of experience in Communications, Multi-Media Production, Change Management, or related field.

  • 2–3 years of experience managing communications initiatives across large, distributed organizations preferred.
