Description Job Title: Assistant Athletic Director Reports to: Athletic Director Location: BFCS - Queen Creek, High School Campus Term: 12 Month Employee Job Description: Benjamin Franklin Charter School is looking for an Assistant Athletic Director to join our Team for the 2024-2025 school year. Responsibilities: Assist the AD - Maintain AD's calendars
- Attend all meetings and keep minutes with coaches and vendors
- Weekly meetings with AD
- Prepare and attend seasonal coaches meetings
- Assist with website and coaches pages
- Assist with Semper Sursum nominees
- Format and print out certificates for participation, varsity letters, AIA all-region, AIA all-state
- Attend charger days & Open houses - provide info and answer parent/ student questions
Athletic Assist - Uniform inventory - distribute & collect for each sport each season
- Maintain and organize uniform closet
- Handle all damaged/ lost uniforms - notify parents and collect fees when necessary
- Order/ inventory/ organize varsity letters and pins
- Write check requests for tournaments, meets, reimbursements, etc.
- Collect invoices/ packing slips and give to Order Clerk
- Verify daily attendance of athletes and notify coaches/ AD for eligibility to practice/ play
- Call out teams for early dismissal to games
- Create athletic packets for student athletes
- Confirm games with opposing schools, composing emails with directions & instructions
- Greet officials for home games and prepare their room
- Greet opposing schools and direct them to locker rooms
- Schedule all sports pictures
- Coordinate sport pictures to be hung in the hallways
- Collect/ create all sport passes and distribute to families
- Work Junior High games as site administrator when needed
- Help coaches & parents submit K7K Insurance claims
- Work with Athletic Trainer to create sport binders with EAP, handbooks and essential documents
- Athletic graduation cords - keep track of 4 year athletic participation
- Organize AIA playoff games (intense planning)
- Coordinate with Boosters
Coaches - Be available for coaches - through text, calls, emails
- Assist on the first day of tryouts, monitoring eligible athletes
- Collect/ record coaching certifications
- Print/ make copies for team distribution
- Collect artwork approval forms, submit to Basecamp, provide approval to coaches
- Key inventory
- Assist with bfcsaz.com email accounts
- Organize/ market interest meetings
- Attend all parent meetings & collect fees
RegisterMyAthlete - All that encompasses -open/close sports
- Approve registrations
- Make team rosters
- Send email reminders
- Monitor athletic fees
Transportation - Schedule buses for away games
- Work closely with transportation coordinator
- Obtain charter bus quotes if buses are not available
- Schedule activity buses when needed
- Collect driver's license info and driving record for approval of drivers for activity buses
- Organize activity bus training for coaches/ volunteer parents
- Attend monthly transportation meetings
- Maintain approved drivers list
- Sign out/in keys to the coach for the mini buses
- Collect pre/post inspection form from drivers and file
Tandem - All encompassing
- Enter tryout, game, and practice days & times
- Schedule events/ banquets
- Schedule performances/ visits with elementary campuses
